Congratulations on your admission to UCSB and welcome to the Department of Chemistry and Biochemistry!
The faculty, staff, and current graduate students of the DCB at UCSB are excited to welcome you to our community of scholars! Now that you have been admitted, please take the following steps to begin your graduate career.
1. Statement of Intent to Register & Financial Offer Letter: Due April 15th
To officially accept our offer of admission, you must submit the online Statement of Intent to Register (SIR), located on your Application Overview Page. You will need your original email address and password used to create your online application.
Your departmental financial offer letter was sent to you from firstname.lastname@example.org just prior to the release of your official offer of admission from the Dean of the Graduate Division. Your SIR indicates acceptance of your offer of admission, but you must also indicate acceptance of the financial offer and return the signed letter to the department.
2. Submit your Statement of Legal Residency as soon as possible upon submission of your SIR.
Instructions for completing the SLR are found on the Registrar's web site. If the Registrar does not receive your SLR, you will be automatically assessed non-resident tuition. If you have any questions, please contact the Registrar at email@example.com or 805.893.3033.
3. Submit the Free Application for Federal Student Aid (FAFSA): Priority Deadline - March 2nd
It is required that all domestic graduate students file the Free Application for Federal Student Aid (FAFSA). Students may file the FAFSA electronically by accessing the website or secure a hardcopy application from their local financial aid office. Please have your FAFSA sent to the UCSB Financial Aid Office. In September, you will be asked to submit your financial aid award letter.
4. Housing: Applications for housing at San Clemente Villages - May 15th
UC Santa Barbara offers a variety of housing options for graduate students. For information on how to apply for housing, please visit Housing and Residential Services. You are also welcome to seek housing in the community (in which case, you do not need to submit an application for university-owned housing; see the Community Housing Office for help getting started)
5. Register for Courses
Registration instructions can be found on the Office of the Registrar's web site. New graduate students in the Department of Chemistry and Biochemistry typically register during New Grad Academic Training. You may notice charges to your BARC (UCSB Billing Office) account before then; the department will begin processing fees after new students have registered for fall and completed all employment paperwork. It is important to register for no less than 8 units by the posted deadline each quarter or the department cannot pay your tuition and fees. However, the Department requires that you maintain a minimum of 12 units per quarter.
January-March: Admissions decisions released by the Dean of the Graduate Division
March 2: Priority deadline for filing the FAFSA
April 15: Deadline for accepting your departmental financial offer letter and completing your Statement of Intent to Register (SIR)
Mid-April: Submit your Statement of Legal Residence
May 15: Deadline to apply for university-owned graduate student housing
Late August-Early September: Arrive in Santa Barbara!
Mid-September: Mandatory New Grad Academic Training (NGAT)
After Registration: Submit availability form for fall and receive teaching assignment (for TA's)
Last Thursday in September: Fall instruction begins; Deadline to enroll in at least 12 units
September-October: Finalize rotation schedule for fall and winter
November 1st: First paycheck available (direct deposit or in Building 232)
May-June: Establish California residency (out of state domestic students only)
Hosted by the Department of Chemistry and Biochemistry (DCB), New Grad Academic Training (NGAT) takes place during the two weeks in September just prior to the start of fall quarter. This mandatory training period includes a variety of events and workshops intended to help prepare new students for success as both teachers and learners at the graduate level. Campus-wide Orientations (including new TA Orientation) will also take place during this time. Students should be sure to always arrive at events on time so that invited guests, speakers, and faculty may begin their introductions and presentations promptly as scheduled.
Academic Advising: All new students will be scheduled to meet with their respective area advisors during NGAT. The area advisors will explain coursework requirements and help students plan their schedules for the first year. Students are expected to register for fall quarter courses via GOLD immediately following their appointment wih the area advisor. A UCSB netID and password is required to log-in to GOLD. The department cannot begin payment and processing of fees until students have registered for at leat 8 units; 12 units are required to maintain good academic standing. Additional presentations on graduate requirements, how to select a group, and use of the library will also take place during New Grad Academic Training.
Chemistry 293: The Faculty Research Seminar is a 2-unit course which takes place during New Grad Academic Training. All new students are required to enroll for the fall quarter and attend all class sessions. Faculty members will present on their active research projects, giving students the opportunity to learn about ongoing research in the department and begin the process of seeking a primary research advisor.
TA Training: General Chemistry Laboratory Coordinator, Dr. Petra van Koppen will work with all new students in preparation for laboratory teaching assignments. Workshops, presentations, and assignments include Teaching Responsibilities,Teaching Problem Solving, current grad student panel discussions, lecture presentations, and initial TA meetings. Students will also receive a detailed Teaching Assistant Manual.
Health & Safety Training and Exam: A mandatory Laboratory Safety Course will be taught by Environmental Health and Safety. Students must pass the Health and Safety exam to be eligible to hold a teaching position.
BARC, Tuition, & Fees: Over the summer, students will notice charges to their BARC accounts (UCSB Billing Office) for fall quarter tuition and fees. Fee payments cannot be processed until students are registered for courses and hired for the quarter. For fall, fee payment will begin after students meet with the area advisor and register for classes.
Financial Matters: In order to be hired, it is necessary for students to bring with them a birth certificate or social security card AND driver’s license OR passport. Click here for a list of acceptable documents. International students are required to bring their passport and all current visa information. Prior to, and during NGAT events, students will complete New Hire paperwork, and have any questions regarding payment and employment answered.
Stipend monies specified in a student's Financial Offer Letter are distributed via the student's BARC account. TAs and GSRs will recieve their first paychecks on November 1st. We are unable to distribute stipend or other monies to anyone prior to officially being hired and/or matriculating to the University, so it is important that students budget accordingly.
Email and IT Support: All students must establish an @chem.ucsb.edu email address. The IT Help Desk is available to assist students with email, computer, and other technical questions.
Parking Permits: Employed graduate students are eligible for a Staff (B) permit, once their employment paper work has been processed. Rates for parking permits are $450 for the year (July through June) and $118 for a quarterly permit. Prices are pro-rated monthly. Fees are paid at the Parking Services Office or online. Please refer to the Parking Services website for additional information.
Student ID Card: The ACCESS Card is the student identification card required to utilize various campus services, including free access to the MTD bus system and the UCSB Recreation Center. It can be obtained at the Informaition Desk located in the UCen; proof of registration and photo identification is required.
Social Activities (Coffee & Introductions, Team Building, Tea Time, & BBQ): These events are planned to allow new students to become better acquainted with each other and their new home as well as to allow current members of the Department to meet the new students. Have fun and enjoy!
